DATA COLLECTION
The short version:Â The Trophy Vault does not sell your data, does not track you, and does not require an account to use. All information you enter stays on your device unless you choose to export or share it.
1. Who We Are
The Trophy Vault is a mobile application developed and operated by William Klaproth ("we," "us," or "our"), doing business as The Trophy Vault. The app is designed to help hunters record, score, and preserve their trophy harvest records.
This Privacy Policy explains what information the app may access or store, how it is used, and your rights regarding that information.

2. Information We Collect
The Trophy Vault is designed as a local, offline-first application. The app collects and stores data only as directed by you, the user. We do not operate background data collection.
Information You Provide Directly
When you create a harvest record, you may enter:

Animal species, date, and location of harvest

Hunt conditions (weather, temperature, terrain)

Photos you choose to attach to a record

GPS coordinates (only when you choose to use the GPS capture feature)

You control exactly what you enter. No field is mandatory beyond what the app requires to create a record.
Location Data
The app may request access to your device's location if you choose to use the GPS capture feature to record where a harvest occurred. This data is:

Stored locally on your device within your trophy record

Not transmitted to our servers

Not shared with any third party

Only captured when you actively initiate it — the app does not track your location in the background
Photos
The app may request access to your camera or photo library so you can attach photos to your records. Photos you attach are stored locally on your device. We do not access, upload, or store your photos on any external server.
Device Information (Crash Reporting)
If the app crashes, basic crash diagnostic information may be collected automatically through the operating system or development platform (such as Expo/React Native). This information may include:

This data is used solely to identify and fix technical problems. It does not include your personal trophy records, photos, or location data.
What We Do Not Collect
We do not collect:

3. How We Use Your Information
The information stored in the app is used for one purpose: to provide you with the app's features. Specifically:

Your trophy records are displayed back to you within the app

Your photos are displayed within the record they are attached to

GPS coordinates are saved to your record so you can reference them later

Crash logs are used to improve app stability
We do not use your information for advertising, profiling, or any purpose beyond operating the app.
4. Data Sharing and Third Parties
We do not sell, rent, trade, or otherwise share your personal data with third parties for marketing, advertising, or commercial purposes.
The following limited situations may involve third-party access to technical app data:
App Distribution Platforms
The Trophy Vault is distributed through the Google Play Store and (when available) the Apple App Store. Each platform has its own privacy practices governing the download and installation process. We do not control the data practices of Google or Apple.
Development and Crash Reporting Tools
The app is built using Expo and React Native. These development platforms may collect technical diagnostic data (such as crash logs) as described in Section 2. This data is not linked to your personal records.
Legal Requirements
We may disclose information if required to do so by law, court order, or government request, or if we believe disclosure is necessary to protect our rights or the safety of others.
Export Feature
The app includes a JSON export feature that allows you to export your trophy records as a file. What you do with that exported file is entirely your choice. We have no visibility into exported data once it leaves the app.
5. Data Storage and Security
All trophy records, photos, and GPS data you enter are stored locally on your device using SQLite, a local database. This data is not transmitted to our servers during normal app use.
We implement reasonable technical measures to protect app data, including encrypted transit for any data that does leave your device (such as crash logs). However, no system is completely secure. You are responsible for maintaining the physical security of your device.
If you delete the app, your local data will be deleted along with it. We recommend using the export feature to back up your records before uninstalling.
6. Your Rights and Choices
Access Your Data
All of your data is already visible to you within the app. You can view, edit, or delete any record at any time.
Delete Your Data
You can delete individual trophy records within the app. To delete all data, uninstall the app from your device. Uninstalling removes all locally stored data.
Export Your Data
Use the built-in export feature to save a copy of your trophy records as a JSON file at any time.
Location Permissions
You can revoke the app's access to your device location at any time through your device's settings. This does not affect records already saved.
Photo Permissions
You can revoke camera or photo library access through your device's settings. This does not affect photos already attached to your records.
Request Data Deletion
If you believe we hold any data about you beyond what is stored on your device, you may contact us to request deletion. See Section 9 for contact information.
7. Children's Privacy
The Trophy Vault is not directed at children under the age of 13. We do not knowingly collect personal information from children under 13. If you believe a child under 13 has provided personal information through the app, please contact us and we will take steps to remove it.
8. Changes to This Policy
We may update this Privacy Policy as the app evolves — particularly as we add features like cloud sync or user accounts. When we make material changes, we will update the "Last Updated" date at the top of this page.
We encourage you to review this policy periodically. Continued use of the app after changes are posted constitutes acceptance of the updated policy.

User Content & Photo Submission Policy

Plain English SummaryWhen you submit a photo to The Trophy Vault — for the community gallery or the Score That Trophy game — you are giving us permanent, royalty-free permission to use that photo however we choose. You keep ownership of the photo. We gain the right to use it. Read Section 3 for the full license terms.
1. Scope of This Policy
This User Content & Photo Submission Policy ("Photo Policy") applies to all photos and related content ("Submitted Content") that users submit to The Trophy Vault through any available channel, including:

Email submission to a Trophy Vault address

In-app submission (when that feature becomes available)

Any other method we make available for content submission
This Photo Policy is part of and supplements The Trophy Vault Terms of Service and Privacy Policy. By submitting any content, you agree to all three documents.
2. What You Are Submitting For
Submitted Content may be used in either or both of the following features:
Community Trophy Gallery
A public gallery within the app where the hunting community can browse and share notable trophy photos. Submissions to the gallery may be displayed publicly to all app users.
Score That Trophy Game
An in-app game where users are shown a photo of a harvested animal and attempt to guess the trophy score. Photos used in this game are displayed to all players. Submitted photos may be used as game content at our sole discretion.
3. License Grant
By submitting any photo or content to The Trophy Vault, you grant William Klaproth, doing business as The Trophy Vault, a perpetual, irrevocable, worldwide, royalty-free, non-exclusive license to use, reproduce, display, publish, distribute, modify, adapt, create derivative works from, and otherwise exploit your Submitted Content in any medium or format, now known or hereafter developed, for any purpose — commercial or non-commercial — without further notice to you, without your approval, and without compensation to you.
This means we may use your photo in the app, on our website, in marketing materials, in social media, in promotional content, in press coverage, in future app features, or in any other context we determine appropriate — without asking again each time.
You retain ownership of your original photo. This license does not transfer copyright to us. It gives us broad, permanent rights to use the photo without restriction.
4. What You Are Representing When You Submit
By submitting a photo, you represent and warrant that:

You are the original photographer or you own the rights to the photo, or you have explicit written permission from the rights holder to submit it under these terms

The photo does not infringe the copyright, trademark, privacy, or other rights of any third party

Any person visibly identifiable in the photo has given you permission to submit their likeness for public display

The harvest depicted in the photo was taken legally in compliance with all applicable federal, state, tribal, and local hunting laws and regulations

The photo does not contain content that is obscene, defamatory, harassing, or otherwise unlawful
-
You are at least 18 years of age, or have parental or guardian consent to submit
If any of these representations are false, we reserve the right to remove your submission and pursue any available legal remedies.
5. Our Right to Accept, Reject, or Remove Content
Submission does not guarantee use. We reserve the right to:

Accept or reject any submission at our sole discretion

Remove any submitted photo from the gallery or game at any time for any reason
-
Edit, crop, recolor, or otherwise modify submitted photos for use within the app or in promotional contexts
-
Use submitted photos in a different context than the one originally intended (e.g., a gallery submission used in the game)
We are not obligated to use any submitted photo, and submission creates no contractual obligation on our part to publish or display your content.
6. Requesting Removal Before Publication
If you submitted a photo and it has not yet been published in the app or game, you may request removal by contacting us at info@thetrophyvault.com with the subject line "Photo Removal Request" and a description of the photo you submitted.
We will make reasonable efforts to honor removal requests received before a photo goes live. Once a photo has been published — whether in the community gallery, the Score That Trophy game, or any other public context — the license grant in Section 3 is in full effect and the photo cannot be removed from all uses retroactively.
We will notify submitters via the email address used at submission if we are able to do so, but we are not obligated to provide advance notice before publishing submitted content.
7. No Compensation
Submissions to The Trophy Vault are voluntary and unpaid. You will not receive monetary compensation, credit, or any other form of payment in exchange for submitting your photo or for our use of it under the license granted in Section 3.
We may, at our discretion, provide attribution (such as a hunter's name or username) alongside a photo, but we are not required to do so.
8. Content Standards
Submitted photos must depict legally harvested big game animals. We will not accept or publish:

Photos of illegally taken animals or poaching activity

Photos that are sexually explicit or obscene
-
Photos depicting abuse of animals beyond normal and accepted field-dressing or hunting practices
-
Photos that contain identifying information about private hunting land without the landowner's permission
-
Photos that are digitally manipulated to misrepresent the animal's score or appearance
-
Photos you do not have the right to submit
We reserve the right to determine what meets these standards at our sole discretion.
9. Privacy of Submitted Photos
Photos submitted to the community gallery or Score That Trophy game will be displayed publicly within the app and potentially in other public-facing contexts. Do not submit any photo you wish to keep private.
If your photo contains location metadata (EXIF data), we may strip that data before publishing, but we do not guarantee it. If you are concerned about location privacy, remove EXIF data from your photo before submitting.
10. How to Submit
Currently, photo submissions are accepted by:

Email: Send your photo to info@thetrophyvault.com with the subject line "Trophy Photo Submission." Include the species, approximate score (if known), state/region of harvest, and your name or username as you'd like it credited (optional).
